Running Reports

Admins can run any report. Co-admins require specific permissions to run reports. See Co-Admin Permissions Required to Run Reports for details.

Running a report involves configuring a report's settings and then running the report, which will be saved in your Box Reports folder. You can also:

From the Create Report tab you can run the following reports:

Important

To prevent intentional or unintentional abuse of Box systems, you are limited to running no more than 300 reports per hour. if you exceed this limit, you may be blocked from running new reports temporarily.

To run any report except Geographic Activity, Legal Holds, or Retention:

  1. Go to Admin Console > Reports.
  2. Click Create Report.
  3. Select any report type except Legal Holds or Retention.
  4. Click Next.
  5. In the Run [Report Name] dialog box or the report Step 2 page, configure the report and set a start and end date for the report data, if available. See the page for each report type (links above) for details about what you can configure for each report.
  6. In the Add Subscribers To Report field, optionally enter one or more user names (or managed users) or user groups. See Subscribing Users to Reports for details.
  7. Click Run.

To run a Geographic Activity report:

  1. Go to Admin Console > Insights.
  2. In the Geographic Activity section, click the down arrow (button_down_arrow_outline.png) at the top-right of the map.
  3. Click Run.

To run a Legal Holds or Retention report:

  1. Go to Admin Console > Reports.
  2. Click Create Report.
  3. Select a Legal Holds or Retention report type.
  4. Click Next. You will be taken to the page where your existing Legal Hold or Retention policies are listed.
  5. Hover your mouse cursor over the policy you want a report for and click Report.
  6. Click Generate.

To run a report that can be scheduled and its configuration saved:

Legal Holds and Retention are not run from Reports and cannot currently be scheduled or have a configuration that can be saved.

  1. Go to Admin Console > Reports.
  2. Click Create Report.
  3. Select the type of report you want to run.
  4. Click Next.
  5. In the Run [Report Name] dialog box or the report Step 2 page, configure the report, and set a start and end date for the report data, if available. See the page for each report type (links above) for details about what you can configure for each report.
  6. Optionally save the report setting configuration or schedule the report.
  7. In the Add Subscribers To Report field, optionally enter one or more user names (or managed users) or user groups. See Subscribing Users to Reports for details.
  8. Click Run.

To run a saved report:

  1. Go to Admin Console > Reports.
  2. Click the Saved Reports tab.
    If you are the organization Admin, you will see a list of all saved report configurations. If you are a Co-Admin or a Group Admin, you will see only the report configurations you have saved.
  3. Hover the cursor over the saved report configuration, click the 3-dot button (button_3_dots2.png), and then click Run.

Notes:

  • Reports can take several minutes to up to 12 hours to generate, depending on the size of the data set. However, for particularly large data sets, it can take longer.
  • If the status of your report does not update in 24 hours, or has been in a Pending status for 24 hours, please contact Product Support.
  • For all content reports, data is available for up to 24 hours before the time that the report is run. For all event reports, data is available for up to 12 hours before the time that the report is run. For the User Details report, data is available for up to 1 hour before the time that the report is run.
  • A single report file can contain up to 1 million rows of data. If a report generates more than a million rows of data, the report will be broken up into multiple files with the same name except for the _Page_# at the end of the filename. Note that if a report is broken up into multiple files, the pagination in the filename determines the order of the data, not the order in which the files were completed and uploaded to the Reports folder.
  • Some reports include date and time data. Times in reports include a time zone, and the time zone in a report can be in either Universal Time (UTC) or local time, where "local" is defined at the time zone of the admin who ran the report or who set up the report schedule.
